New Hire Orientation IT Training Notes
Contacting Husco IT
To begin, it's important to familiarize yourself with the available communication channels to reach Husco IT. You can send an email to servicedesk@husco.com or call us directly at +1-262-513-4545. If you possess a Husco Microsoft Teams account, you can contact us by dialing extension 4545 or by utilizing our ticketing system, Freshservice. Access the Freshservice portal at servicedesk.husco.com, and for on-the-go support, install the Freshservice app on your smartphone.
We provide detailed instructions for each of these options and are committed to assisting you in becoming familiar and comfortable with them. Additionally, at the bottom, you'll find a dedicated training series designed to guide you in maximizing your use of Freshservice.
Passwords
Now, let's talk about passwords. They're a big part of computer security, so choosing a strong one is important.
Your password or passphrase needs to be at least 15 characters long. Then you have a very secure password and one that meets Husco standards.
If you need ideas or help to create a passphrase, see https://www.useapassphrase.com/.
To change your password, press ctrl + alt + del and click "Change Password." Type in your old password and your new password (twice!) and hit enter.
After changing your password, reboot your computer to ensure everything's updated, and then make sure you can log in without any problems.
Know that your account will lock after 5 failed attempts. If that happens, don't panic! Just give us a call at 1-262-513-4545 to get your account unlocked right away. Or, if you'd rather wait, it'll automatically unlock after 15 minutes. But please only try to unlock it during that time!
Your password will not expire.
Avoid using the same password for multiple accounts. This is generally a good security posture, and we recommend you practice this both at work and at home. Each account should have its unique password, and a password manager will help you with this. Feel free to ask us about password managers.
Microsoft Teams
Microsoft Teams is a crucial part of our company for file sharing, collaboration, and even our phone system. If you need a physical phone with a dial pad, get in touch with the Service Desk, and we'll assist you.
To help introduce this software, we've included a document about Microsoft Teams. https://servicedesk.husco.com/a/solutions/articles/21000652939
It's a quick guide to review everything you need to know. If you're new to Teams, this guide is like a cheat sheet that you can use to get up to speed quickly.
Saving Your Work
Now, let's talk about saving your work.
We have two options: save to your OneDrive or Microsoft Teams.
Your local C: drive and desktop are not backed up. There is no reason to ever store anything on your Desktop/C: Drive. If something were to go wrong with your computer, your documents would be permanently lost. The take-away is to save your documents to the Teams or your OneDrive as a safety measure to avoid data loss.
Emails and Attachments
All internal document sharing should be done through links. An internal email should not have an attachment. Rather, you should link it.
Printers/Printing
At Husco, we use a printing software called PaperCut MF, which is available on all printers.
Look for the printer's PaperCut MF icon or splash page to get started. If it's your first time using one of these printers, you'll need to swipe your badge, which you'll receive from HR.
If you're a new employee or using an unregistered badge, click "Yes" to show the unknown user. Then enter your credentials using the same username as your Husco PC login. Click "Send," and the system will confirm your badge is registered. You can then scan your badge to enter the printer interface.
Once registered, you can print at any of our Maquoketa, Whitewater, and Waukesha locations. If you need a new badge, you must repeat this process to register the unique badge number. If you need help with this process, don't hesitate to contact us, or you can find step-by-step instructions in Freshservice by using the search bar and typing "Papercut" (PaperCut_Find Me Print Instructions).
For printers, using the duplex printing feature (or two-sided printing) whenever possible is essential to reduce paper usage and save costs.
Each site uses a naming convention consistent with its location. You must learn the correct printer ID to connect to your computer.
Generally, you'll want to print the Find Me Print - WA here in Waukesha.
VPN
Let's dive into remote access VPN. This feature allows you to access Husco network files, printers, internal websites, and network-based software and licenses for that software anywhere in the world. To get started, make sure you have a wireless internet connection. You can verify this in any web browser by visiting Google.com or another website. Once you're connected, follow these easy steps:
Click on the start menu
Find and click on Cisco Any Connect
--If this is not installed on your computer, contact the Service Desk.
Double-click on the Cisco Any Connect client icon
Ensure it states vpn.husco.com and click connect
Enter your Husco username and password when prompted
With MFA, you'll be prompted to enter the six-digit number provided by your preferred authentication method.
That's it! You're now ready to access and use the Husco VPN.
If you are working remotely, ensure a secure and reliable internet connection. If you experience any issues with your connection, don't hesitate to contact the IT Service Desk for assistance.
Please be aware that you may have to come into the office to fix a VPN issue. This most frequently happens when you must change your password and do so outside of the Husco network, and this is an excellent reason to pay attention to email reminders about changing your password.
When you've finished using the VPN, remember to log out. This is a good security practice and helps prevent unauthorized network access.
iPhones
Now, let's talk about company-issued iPhones. If you need one, great! Just keep in mind a few things:
- If your manager requests a phone, our IT service desk will order a new smartphone with a unique number for you. Remember, any accessory purchases require manager authorization, and it's your responsibility to make those purchases. But don't worry. Once approved, you can expense these back to the business.
- When you receive your company-provided phone, we highly recommend creating a Husco Apple ID. For example, if your email is John.Doe@husco.com, your Apple ID would be John.Doe.Husco@icloud.com. Doing this lets us, the Service Desk, help reset your username and password if anything happens to your phone or account.
- If you're wondering about WiFi on-site, we have a BYOD (bring your own device) network available, but the password isn't public. So, if you'd like to connect your device to that network, please let us know, and we'll set that up for you at our service desk.
Understanding Husco's policies regarding phone usage, data usage, and expenses is crucial before using the company-issued phone. Ensure that you follow the guidelines, and if you have any doubts, contact your manager or IT Service Desk for clarification.
Your Laptop
Let's talk about company-issued laptops. It's important to remember that your laptop is your responsibility, so treat it with care. Please keep it safe and secure to protect against loss or damage.
Never leave your laptop unattended in public places when you're out and about with your laptop. Be aware of your surroundings and avoid using public WiFi whenever possible. Public WiFi is not always secure, so it's best to avoid entering sensitive information like passwords, personal details, or credit card information while connected to it. Bad actors can easily intercept this information.
Protecting your laptop is a team effort, so always keep it close and secure.
Husco IT provides regular software updates and patches to help keep your devices and applications secure. Installing these updates ensures you have the latest security features and bug fixes.
Husco IT recommends using a password manager tool to help you securely store and generate strong passwords for all your online accounts.
Phishing
We take phishing attacks very seriously at Husco, and we have measures in place to protect you. However, sometimes phishing emails make it through our filters. If you receive an email with a banner at the top that reads "Caution, Email originated outside of Husco," please be extra careful before clicking any links or downloading attachments.
If you suspect an email is a phishing attempt or seems off in any way, report it immediately. We made that easy to do in Outlook. Just click on the "Report Phishing" icon at the top right corner of the screen. Alternatively, forward this email to ServiceDesk@husco.com. This will create a ticket with our service desk, and we'll investigate the email further. Your quick action can help prevent others from falling victim to the same phishing attempt.
Loaner Devices
At Husco, we understand that you may occasionally need a loaner device. We've got you covered if it's a cell phone or air card MiFi device.
To request a loaner device, go to servicedesk.husco.com, click on Request a Service, and select the type of device you need under the Computers, Cell Phones, and Printing tab.
For example, if you need a loaner iPhone, click on Loaner iPhone, select your location, and complete the form with the dates you need the device. Remember to request an extension if you're traveling to avoid overlapping with other users.
If traveling internationally, please be aware that some countries may restrict accessing certain websites or using specific applications. Before traveling, please contact the IT Service Desk to ensure you have the appropriate access and permissions to work.
Turning on your Mic and Camera
Select Start > Settings > Privacy > Microphone. To allow access to the microphone on this device, select "On" under the App permissions > Microphone.
Select Start > Settings > Privacy > Camera. To allow access to the camera on this device, select "On" under the App permissions > Camera.
FTP Sites
A note on FTP sites, if you use them know that they are not data storage sites. Their contents only hold files for a maximum of 90 days. They are not backed up. Their purpose is to get large amounts of data/information outside of the company.
